Office Assistant - Maine Center for Integrated Rehab
Job ResponsibilitiesPrepare/transcribe correspondence, memorandums, reports and other administrative/clinical documents including Plans of Treatment using word processing software.Answer telephone calls for department staff, take messages and/or direct the caller to another party as appropriate. Respond to inquiries and provide information according to department procedure.Prepare, organize and maintain client records/files and ensure their completeness/accuracy. Notify DCM when required documentation is not submitted.Review/ensure completeness of client record upon discharge and file storage per state regulations and ResCare policies and procedures. Maintain control procedure/security for all active and inactive client records including those sent to archives.Maintains/updates clinical and training notebooks for persons receiving services and sales/marketing collaterals.Work with program clinical coordinators when initial referral is received to complete admission paperwork including persons served profile, insurance verification, related correspondence and reports.Receive/review payment status of accounts payable invoices. Obtain necessary approvals and submit to Accounting Department. Maintain AP files in the office.Copy/distribute/file reports, correspondence and other printed material.Open. sort and distribute incoming mail. Ensure that outgoing mail is properly addressed and prepared for delivery.Order/maintain office supply and marketing material inventory, adhering to expenditure guidelines.Receive requests for medical records and prepare copies after approval.Ensure appropriate billing for copies.Completes billing and payroll data entry as assigned. Support billing and payroll function by accurately entering all needed new client billing/payroll information into the system.Maintain the highest standards of professional conduct in relation to information that is confidential in nature. Share information only when the recipient’s right to access is clearly established and the sharing of such information is clearly in the best interest of the person served.Attend, participate in and/or conduct internal staff development programs, obtain continuing education as required by Company policy and regulations.Perform other duties as assigned in response to the person serviced, office and/or program needs.

Broad knowledge of medical terminology and effective oral/written communication, organization, transcription, and mictocomputer software skills also required.
